Tenancy Terms and Conditions

  1. Booking a Room
    1.1 Booking Options
    There are 3 options for booking your accommodation with Cloud Student Homes.

1.1.1 Web Direct
To make a booking online, select the property and room type you wish to book and follow the onscreen instructions to complete your booking. You will be completing an electronic Assured Shorthold Tenancy Agreement (AST), and during this process you will need to supply all relevant documentation. If you do not complete the AST in this time, it will be automatically cancelled and you will need to restart the booking process.

1.1.2 Via Accommodation Team
This can be requested by phone, email or via ‘contact us’. You will be required to provide all relevant information requested during your online tenancy application. You will have up to 7 calendar days to complete your AST (the expiry date will be shown on your application). If you or your UK Guarantor (if applicable) have not signed and provided the requested documents, your AST will then expire and be automatically cancelled.

1.1.3 Third Party Agent
To make a booking via a third-party agent, follow their booking process. When the agent has processed your booking, you and your UK Guarantor (where applicable) will be required to complete an AST, which will be issued to the email address(es) provided. You will then be required to provide all the relevant information requested during your tenancy application. You will have up to 7 calendar days to complete your AST. If you or your UK Guarantor (if applicable) have not signed and provided the requested documents, your AST will be automatically cancelled. Third-party agents may require you to pay booking/application fees and subscribe to their own terms and conditions.

An AST is a legal document and tenants and UK Guarantors (if applicable) should read it carefully before agreeing to the terms. The tenancy platform is powered by StuRents. By submitting a booking, you agree to StuRents’ legal terms, privacy policy and acceptable use policy.

1.2 Acceptable Documents During Tenancy Application
Tenant – Proof of Identity (one of the following):
• Current, valid passport (certified copies must show nationality, place and date of birth, passport number, expiry date, photograph and signature)
• Current, valid UK full photo-card driving licence
• Current, valid UK provisional photo-card licence
• Residence permit showing your full name and current address

Visa (if applicable).
Student status: Valid student ID or offer/acceptance letter.

UK Guarantor – Acceptable Documents:
Proof of Identity:
• Valid passport
• Current, valid UK full photo-card driving licence
• Current, valid UK provisional driving licence
• Residence permit

Proof of Address:
• Utility bill (not mobile phone) dated within 3 months
• Bank, building society, or credit card statement within 3 months
• Local authority tax bill (current year)
• Solicitor’s letter confirming house purchase
• HMRC tax document showing full name and address (P45s and P60s are not acceptable)
• Original benefits/pension letter
• Mortgage statement

All documents must be in English. Cloud Student Homes may reject unclear or untranslated documents. All booking applications are subject to Right to Rent checks.

Cloud Student Homes will review your AST and notify you via StuRents when it has been approved.

1.3 Deposit
To confirm your booking, you must sign your AST and pay a £150 (en-suite) or £200 (studio) deposit. This becomes your refundable deposit once Cloud Student Homes countersigns your AST, and is protected with MyDeposits Custodial. Deductions may apply for arrears or damage.

A surcharge may apply for card payments processed through StuRents. A flat £1.50 fee applies to booking fees, deposits or non-automated rent payments.

Your tenancy is confirmed only once all parties sign the AST. After this, you will be sent a rent payment schedule. You cannot move in until the first rent instalment is paid. A non-refundable £1.00 fee verifies the Guarantor signature.

  1. Payment Methods

    You have two payment options:
    1. Pay in full
    2. Instalments (9 or 4 instalments) via Direct Debit

Direct Debits must be from a UK bank account. There is no charge for setting up Direct Debit.

UK GBP Debit Card Payments incur a £1.50 fee.
Non-GBP Debit Card Payments incur £1.50 + up to 2%.

If you book within 14 days of check-in, you must pay by debit card.

Cash, credit cards and cheques are not accepted. Debit card payments cannot be taken over the phone or at reception.

You must ensure funds are available in accordance with your payment schedule. Failure to pay rent follows the debt collection procedure.

2.1 Instalment Schedules

Payment in full: Taken at end of August, or before AST start date if booked after August.

9 Instalment Option:
• August: 10%
• September: 10% (or 20% if booked after 14 August)
• October: 10%
• November: 10%
• December: 10%
• January: 10%
• February: 10%
• March: 10%
• April: 20%

4 Instalment Option:
• August: 10%
• September: 34%
• January: 34%
• April: 22%

Payment dates are fixed and cannot be changed. If you fail to make your first payment on time, Cloud Student Homes may cancel your booking 10 working days after the due date. Deposit and booking fees are non-refundable. You will not gain access to your room until the first payment is made.

3. Guarantor Service

To reserve a room and pay in instalments, you must provide a qualified UK Guarantor. A Guarantor agrees to pay any outstanding rent and recovery costs.

Minimum requirements:
• UK resident
• Full-time employment or self-employed, or retired with adequate financial status

If you do not have a UK Guarantor, Housing Hand can act as one (fees apply).

4. Cancellation Policy

4.1 Cooling Off Period
If your AST is signed before 1 August, you may cancel within 7 days.
If signed on/after 1 August for tenancies starting up to 30 September, you may cancel within 24 hours.

If your booking is made fewer than 7 days (or 24 hours after 1 August) before your AST start date, you may cancel up to the day before your tenancy starts.

Cancellation requests must be emailed to the Accommodation Team. The deposit may be retained for late cancellations within the cooling-off period.

4.2 Cancellations After Cooling Off
You must find a replacement student to take over your tenancy (Tenancy Takeover). Once they sign the AST, pay their deposit, and pass the cooling-off period, you will be released.

4.3 After Move-In
If you move in and want to leave, you must find a suitable replacement student. You will be liable for rent until they move in and any rental difference. Cleaning and marketing costs may be deducted.

4.4 Cancellations by Cloud Student Homes
If you and your Guarantor fail to sign your AST within the required time, Cloud Student Homes may cancel it. If Cloud Student Homes cannot honour a fully signed AST, they will contact you and may refund all payments.

4.5 No Place, No Stay (First-Year Students)
You may cancel and receive your deposit refund if you do not get the required grades or exceed grades and move to a city without a Cloud property. You must supply evidence within 5 days of results day.

4.6 Visas
If your visa is refused, contact the Accommodation Team within 5 days and provide refusal evidence to receive a refund.

4.7 Room Moves
Contact the team if you want to move rooms. Upgrades may require higher rent. All moves depend on availability, and all rent must be paid. Where rooms become unavailable due to incidents, temporary alternative accommodation will be provided.

5. Checking Out
Inform the team of your departure. All belongings must be removed by 2 pm on the final day of tenancy.

Check-out inspections assess cleanliness and condition.

Deposits (minus deductions) are refunded within 10 days of the tenancy end date.

Overstays incur charges and legal action may be taken.

6.  Additional Terms

6.1 Special Conditions
Medical conditions declared at application may be considered for cancellation on a case-by-case basis.

6.2 Insurance
Insurance is provided by Endsleigh. Claims must be made directly with the insurer. Costs arising from resident fault may be deducted from the deposit.
