Our lettings service

Cloud Student Homes is pleased to offer a choice of block management options, as well as a fully-managed lettings service – perfect for those that wish to ‘rent it and forget it’. We charge an affordable annual management fee, which covers all aspects of managing your property – from finding & interviewing tenants, to rent collection, property inspections & maintenance.

Finding the right tenants

The key to a successful tenancy is in finding the right tenants, which is why we vet all prospective applicants before anyone moves in. We check to ensure references are genuine and complete, confirm the occupier’s status for their ‘Right to Rent’ and perform any ID checks that need doing.

Property management

All our sites have dedicated on-site Accommodation Managers who will look after your property on a day-to-day basis. They also provide tenants with a direct line of contact should they have any issues or questions during their tenancy.

We use a market-leading app, which is a great system for tenants to easily access and sign their contact, access their rent payment schedule, or find information provided by their Accommodation Manager. It’s also useful for reporting property maintenance issues. Using this technology is a great way to ensure everyone is kept up to date conveniently and clearly.

We also organise multiple property inspections throughout the year, to ensure they are being looked after. This also helps us to identify and rectify any issues promptly, should they arise.

Tenants also have access to a 24-hour emergency helpline to give them peace of mind should a problem arise at any time of the day or night.

In short, we look after all aspects of the day to day management of your property so you don’t have to worry. With transparent communication, we work to ensure we do an amazing job both for you and the tenants.

Additional services
  • Professional Photography – All our properties are professionally staged and photographed by experienced interiors photographers to ensure they’re showcased at their optimal level.
  • Advertising – We advertise all properties across popular and specialist portals, social media platforms and sponsored Google Search listings.
  • Accompanied Viewings – A Cloud Student Homes representative will accompany all viewings of the property, and will provide feedback if necessary.
  • Referencing – Once we have found suitable tenants, we will carry out full reference checks.
  • Compliance – We will ensure your property is fully compliant in accordance with all current legal safety obligations.
  • Tenancy Agreements – We will draft all tenancy agreements and accompanying documentation, as well as registering your tenant’s deposit in the Deposit Protection Service for the term of the tenancy.
  • Cleaning & Inventory – We will arrange professional cleans ate the beginning and end of the tenancy, as well as arranging a detailed inventory and performing end of tenancy inspections.
  • Maintenance & Repairs – All properties need some maintenance to keep it to a good standard. We liaise with local, reputable contractors and the building’s management company to ensure property maintenance is undertaken at competitive prices – and finished to a high standard.
Our lettings fees

Our lettings fee is 8.5% + VAT.

In addition we can provide a range of additional services as follows:

  • Annual Condition Report Including Photos - £36 including VAT
  • Negotiations with the council regarding council tax beyond notifying them of new tenancies – £60 including VAT per annum
  • Marketing through external agencies – As and when required, to maximise occupancy, Cloud will use agencies to find tenants. These agency fees will be charged to landlords and will range from 6-10% of the annual rent.
  • Insurance claims – Charged at 10% of the value of a successful claim.
  • New tenancy set up fee - £120 including VAT
  • Submitting or renewing HMO or Landlord Licensing Applications - £48 including VAT
  • Request for copies of statements already sent - £24 including VAT
  • Request for annual statement - £24 including VAT
  • Court Attendance - £120 including VAT per hour.

Advising and providing property management information on the transfer of leases.

Providing property management information to Solicitors and others in connection with enquiries on sale, assignments and mortgages to the extent that such information relates to services and duties performed by the Manager pursuant to this agreement.

To be set by the Manager in accordance with their published tariff and paid by those requesting the information. £200 plus VAT for an LPE1 pack

Providing reasonable management information to lessees and freeholders including the provision of copies and/or facilities for inspection of insurance policies, invoices and receipts.

Such reasonable sum(s) as the Manager shall charge in accordance with normal market rates, from time to time, for such services, save for information provided pursuant to s.22 LTA 1985 which must be provided free of charge

Dealing with any pension issues relating to site staff.

Such reasonable sum(s) as the Manager shall charge in accordance with normal market rates, from time to time, for such services

Advertising and recruiting site staff on behalf of the Client.

£40 + VAT per hour per staff member plus costs of any external agencies

Supplying additional copies of all accounts and other relevant documents relating to the management of the Property

Such reasonable sum(s) as the Manager shall charge in accordance with normal market rates, from time to time, for such services and paid by those requesting the information

Dealing with legal recovery of unpaid service charges, variable rent charges or action for non-compliance with leases including instructing solicitors and preparing for and attending Court/Tribunal.

Such reasonable sum(s) as the Manager shall charge in accordance with normal market rates, from time to time, for such services, provided that payment will only be due in circumstances where the Client can recover its costs via the service charge mechanism or from a tenant directly

Preparing and having audited Property service charge accounts

Such reasonable sum(s) as the Manager shall charge in accordance with normal market rates, from time to time, for such services

Providing billing and administration services for the collection of individually metered utility services where appropriate and where agreed between the Parties.

Such reasonable sum(s) as the Manager shall charge in accordance with normal market rates, from time to time, for such services. 

Procuring, coordinating and instructing specialist advisers including but not limited to undertaking major testing and investigations along with major works and decoration where necessary and approved by the Client (which approval the Manager shall promptly seek) and/or where required by the Client and/or otherwise where agreed between the Parties.

Providing any form of services to the Client over and above this agreement in relation to the exercise by the Tenants of the right to collective enfranchisement, the Right to Manage or as the result of the Appointment of a Manager by a Tribunal.

Such reasonable sum(s) as the Manager shall charge in accordance with normal market rates, from time to time, for such services.

Arranging insurance other than insurance arranged by the Client as set out in Appendix VI and dealing with general claims.

Annually

Such reasonable sum(s) as the Manager shall charge in accordance with normal market rates, from time to time, for such services.

Dealing with all Litigation Claims in relation to which the Manager, or an Affiliate of or brand associated with the Manager, is a named party and/or is responsible for providing any services which form the subject of the claim.

As Required

Such reasonable sum(s) as the Manager shall charge in accordance with normal market rates, from time to time, for such services.

Preparing and/or providing specifications, obtaining tenders and supervising qualifying works or works which are potentially qualifying works, dealing with consultations under section 20 of the LTA, including serving the required notices (insofar as such is not already dealt with in paragraph 4 of Appendix II), instructing and liaising with specialist consultants, inspecting work in progress and handling retentions.
